Job Description:       

The Payroll Analyst is responsible for the research, analysis, reconciliation and response to all pay and deduction related payroll production issues. The position will work independently to interpret applicable current university policies and procedures and make accurate applications and apply them correctly.

 

Core Responsibilities

  • Proactively find inefficiencies in processes and suggest process enhancements, document suggestions and present proposals to management
  • Proactively apply analytical and research skills to monitor trends and elevate issues due to data variances
  • Test enhancements and upgrades to the payroll module before their release to make sure processes run accurately and efficiently
  • Interprets federal, state and local tax updates and makes required application and applies them correctly
  • Maintains payroll system setup including earnings and deduction codes, internal structures, limits and business processes are current and up to date
  • Train, educate and coach payroll staff on application solutions and best practices within the Payroll Module
  • Ensures all payroll data is processed consistent with established laws and internal policies, guidelines and controls
  • Compiles data from personnel and payroll records and prepares advanced level reporting, both regularly scheduled and ad hoc
  • Oversees benefit deduction requests and/or retroactive pay processes; provides excellent customer service to various departments providing first line resolution and response or following up until resolution is accomplished
  • Manage federal, state or agency garnishment orders, communication, reporting and disbursements thru ADP – WGPS system
  • Manage individual workflow to coincide with numerous payroll production cycles and deadlines. Assist with coordinating activities in accordance with various payroll-related deadlines
  • Oversees tax regulatory requirements of payroll items such as ESPP, Non-Qualified Stock, and Deferred Compensation, Severance, Relocation, and other stock exercises as needed
  • Prepare payroll related analysis and reports by researching, compiling, analyzing, and verifying data for the Payroll Processors or Senior Management
  • Ensures all payroll data is processed consistent with established laws and internal policies, guidelines and controls
  • Compiles data from personnel and payroll records and prepares advanced level reporting, both regularly scheduled and ad hoc

 

Continuous Improvement/Process Redesign

  • Manage the delivery of key payroll projects that include identifying and researching anomalies and collaborating with key team members and making recommendations on how to improve Payroll processes
  • Analyze large volumes of internal and external data with varying issues to include data that is confidential and highly sensitive
  • Provide subject matter expertise on technology, processes, reports and integrations while identifying opportunities for automation and process improvement
  • Identify and initiate process improvement projects based on root cause analysis and implement those process improvements through collaboration with process owners and business partners
  • Develop appropriate process and procedures to support continuous process improvements

  

Project Management/Operational Compliance

  • Works closely with HRIS team to enhance or implement solutions and resolve payroll anomalies Assist with updating or creating documentation and training
  • Liaison with Field & Corporate Accounting and Treasury Teams to streamline processes and resolve variances
  • Coordinate system testing prior to implementation of upgrades or modifications
  • Collaborate with internal and external partners to resolve complex issues that cross department and/or corporate boundaries to include being the main point of contact for IT initiatives
  • Communicate enhancements, system outages and other technology related items that impact the Payroll Teams
  • Provide full support of annual W-2 process implementation
  • Identify and analyze workflow issues and partner with Payroll Tax Team to develop and implement resolutions

 

Business experience required: 

  • Minimum of 3-5 years’ experience in Payroll role, requiring higher level analytics.  Preference given to experience in fast-paced consumer products, manufacturing, food service or consultancy environment
  • Uses business knowledge, innovative thinking, and sound judgment in the solution of problems or the pursuit of business opportunities
  • Ability to maintain the confidentiality of highly sensitive data
  • Solid analytical abilities and attention to detail
  • Strong communication skills with all levels of the organization
  • Works well in a dynamic environment, handling multiple projects simultaneously, meets deadlines and has excellent organizational skills
  • Possess excellent interpersonal and collaboration skills which contribute to the company culture
  • Shared Services experience preferred

 

Technical Experience:

  • Experience in extracting and manipulating very large and complex worksheets
  • Proficient in the use of data extraction tools
  • Expert level of proficiency with Microsoft Office – especially Excel and Access
